Supercharging Your Lead Pipeline: Permitlify + Zapier + Your CRM
The two questions every contractor asks during a Permitlify demo are: "Will this work with my CRM?" and "Do I have to log into another tool every morning?" The answer to both is: no, you do not, because Zapier is the universal glue between Permitlify and the 6,000+ apps your team already uses.
This is a no-code playbook. If you can drag a box and drop it on another box, you can build the entire pipeline in 20 minutes.
The trigger: "New high-scoring permit in Permitlify"
Open Zapier and create a new Zap. The trigger app is Permitlify. The trigger event is "New permit lead". Connect your Permitlify account using the API key from Settings → API & Webhooks. Set the filter to "Score >= 70" so you are not flooded.
Test the trigger. You should see a real permit from your most recent batch flow into Zapier with all the fields: address, owner name, owner phone, owner email, permit type, declared value, AI score, filed date, jurisdiction, and a deep-link back to the lead page in Permitlify.
Action 1: Create a contact in your CRM
Add a step. Pick your CRM — HubSpot, Pipedrive, GoHighLevel, Salesforce, ActiveCampaign, anything. The action is "Create contact". Map the Permitlify fields to your CRM fields. Tag the contact with "Permitlify lead" so you can report on this source separately later.
Pro tip: also create a custom property on the contact called "AI Score" and pipe in the Permitlify score. Six months from now you will be able to slice your pipeline by lead quality.
Action 2: Send the rep a Slack ping
Add another step. Pick Slack. Action: "Send channel message". Have it post to a #permit-leads channel with a one-line summary: "🔥 New 87-score roofing permit at 412 Sycamore — call within 2 hours", plus a button linking back to the permit in Permitlify. Your reps see it the moment it lands.
Action 3: SMS the homeowner (optional, score-gated)
Add a Filter step: only continue if score is 80 or higher. Then add a Twilio step that sends a courtesy SMS from your business number: "Hi {first_name}, this is {sales_rep} at {company} — I noticed you recently filed a permit at your address. We have a free roof inspection available this week. Reply YES if you'd like a slot."
Used responsibly (and only on score-80-plus leads), this single touch dramatically lifts conversion. Used carelessly it will get your number flagged. Pick a lane and stay in it.
Action 4: Append to a Google Sheet for the scoreboard
Most operators we talk to keep a sales scoreboard in Google Sheets. Add a "Create row" step pointing to your permit-leads sheet. Map every field. Now your sheet auto-builds itself every morning, and you can compare your conversion rate week-over-week without anyone touching a keyboard.
What you have just built
You now have a pipeline that wakes up every morning at 6 AM, reads the day's fresh permits, scores them, filters out the noise, creates CRM contacts for the keepers, pings your reps in Slack, sends polite SMS openers to the very best leads, and logs everything to your scoreboard. All for the cost of a Zapier subscription and twenty minutes of setup. The boring stuff is now the computer's job.
